How to use the MappIT Tools

In this paragraph we will explain how to use the MappIT Tools section, in particular, how to:

• Export data in Powerpoint HEAT MAP
• Export data in Powerpoint CARDS
• Export data in Visio NETWORK
• Import a Data Set from XLS

Export data in Powerpoint HEAT MAP

An HEAT MAP is a visual representation of a set of homogeneous EA entity instances (e.g. Modules) organised in groups of shapes based on some criteria (e.g. Application Domain) and optionally coloured based on some values (e.g. colour based on module ageing or business priority). For generating the HEAT MAP you need to provide the following information:

• Folder where the PPT will be generated
• Entity to be used for shapes
• Entity fields to be used as Names and Groups
• Entity field to be used as Value for Colour gradients
• Colour used as extreme for the min and max value

Based on these information a single PPT slide will be generated containing the HEAT MAP.

Export data in Powerpoint CARDS

A CARD is a summary of key information of an EA Entities Instance (e.g. Module) organised based on a user-defined template. For generating the CARD you need to provide the following information:

• Folder where the PPT will be generated
• Entity to be used for cards
• PPT to be used as template  (for each field you want to show in the CARD you have to insert a textbox in the slide containing in the Text area the name of the field enclosed by square brackets: [entity field]

Based on these information a set PPT slide will be generated each of them containing a CARD for each instance.

Export data in Powerpoint PROCESS CHEVRONS

A Process Chevron map is a visual representation of Business Processes. For generating the CHEVRONS you need to provide the following information:

• PPT to be used as template

In this template you have to setup first slide with you desired template shapes. For each header field you want to show in the CHEVRON you have to insert a textbox in the first slide containing in the Text area the name of the field enclosed by square brackets ([entity field]) preceded  by the “Tag HEADER_” (e.g. HEADER_[Process_Name]). For each detailed field you want to show in the CHEVRON you have to insert a textbox in the first slide containing in the Text area the name of the field enclosed by square brackets ([entity field]) preceded  by the “Tag DETAIL_” (e.g. DETAIL_[Process_Name])

Based on these information a set PPT slide will be generated each of them containing a CARD for each instance.

Export data in Visio NETWORK

A NETWORK is a s a visual representation of a set of homogeneous EA entity instances (e.g. Modules) and their relationships (e.g. Interfaces). For generating the CARD you need to provide the following information:

• Folder where the VSD will be generated
• Type of relationships to be drawn (based on system predefined relationships)

Based on these information a set VSD sheet will be generated containing the selected NETWORK.

Import a Data Set from Excel

You can import data from XLS to MappIT, using excel templates. For importing data you need to provide the following information:

• Type of import rule to be used (based on system predefined relationships)
• File XLS to be used for import.

The XLS file must follow these rules:

• XLS Sheet Name must be the same as the one shown in the import wizard screen
• For Yes/No fields use 1 and 0
• For Numeric fields put 0 where not quantified

This excel file can be generated following this procedure:

• Export the Target Entity  using the “Tools\Export a Data Set to XLS” functionality
• Remove Row and ID Columns
• Change sheet name to the one shown in the import wizard screen
• Save file

Export a Data Set in Excel

You can export data from MappIT to XLS. For exporting data you need to select the Entity that you want to export; MappIT will show the grid of data set selected. You can then Copy & Paste these data in excel.

Export a set of Skill Assessment Template

MappIT can generate a set of xls file, one for each person in the IT organization, containing a template of skills as defined in MappIT. Each file will be saved with a name of the person. You can then distribute the XLS files and in order to be filled by each person.

Import a set of Skill Assessment Results

MappIT can import a set of xls file, one for each person in the IT organization, containing the skills assessment results obtained filling the XLS templates exported previously.

Clean-Up

MappIT can massively delete data from one or more Data Sets. You need to select the Data Set you want to delete and the MappIT will delete for you.
